Privacy Policy

This notice explains what personal information we collect when you use traydsystems.com or ask us for a demo, what we do with it, and what rights you have over it. We have written it in plain English rather than legal boilerplate, because a notice you cannot understand is not really a notice.

Who we are

TRAYD is a trading name of BELFORTE HOLDINGS LTD, registered in England and Wales, company number 17245867. Our registered office is 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ.

BELFORTE HOLDINGS LTD is the data controller for the information described here, which means we decide why and how it is used. You can reach us about anything in this notice at hello@traydsystems.com.

BELFORTE HOLDINGS LTD is registered with the Information Commissioner's Office as a fee payer, registration number ZC218201.

What we collect

When you request a demo, we collect what you type into the form:

  • Your name
  • Your business name
  • Your trade
  • Your phone number
  • Your email address, if you give us one
  • Your preferred time to be contacted

What we collect automatically

Our server records technical information with every request, including your IP address and browser user agent. This is ordinary web server logging and it happens whether or not you fill in a form.

If you accept tracking cookies, Meta (Facebook) also sets its own cookies in your browser, and we send Meta a record of your demo request so we can measure which of our adverts work. See Cookies and tracking below.

Why we use it, and our lawful basis

Under UK GDPR we have to tell you the lawful basis for each purpose. Ours are:

  • To contact you about the demo you asked for and to answer your enquiry. Lawful basis: taking steps at your request before entering into a contract, and our legitimate interest in responding to business enquiries.
  • To keep a record of enquiries in our CRM so we can follow up and know what was said. Lawful basis: our legitimate interest in running and keeping track of our sales process.
  • To measure which of our adverts lead to enquiries. Lawful basis: your consent, which you give or refuse in the cookie banner and can withdraw at any time.
  • To keep our site secure and working, using server logs. Lawful basis: our legitimate interest in keeping the service available and free from abuse.

Cookies and tracking

We set one cookie of our own, trayd_consent, which records whether you accepted or refused tracking. It is strictly necessary, because without it we could not honour your choice, so it is set either way.

The Meta pixel does not load at all unless you accept. If you accept, Meta sets cookies including _fbp and _fbc, which let it recognise a browser across visits.

You can refuse tracking at the banner and nothing on the site stops working. To change your mind later, clear the trayd_consent cookie in your browser and the banner will ask you again.

What we send to Meta, and what we do not

If, and only if, you accept tracking, we send Meta a record that a demo request happened, so Meta can attribute it to an advert.

Your name, email address and phone number are turned into an irreversible SHA-256 hash before they leave our server. Meta receives the hashes, not the values, and uses them only to try to match you to an existing account. Your IP address, browser user agent and Meta's own cookie identifiers are sent as they are, because Meta needs them in that form.

If you refuse tracking, none of this happens and no data goes to Meta.

Who else sees your information

We do not sell your information and we do not share it for anyone else's marketing. We do use service providers who process it on our behalf, under contract and only on our instructions:

  • Vercel, which hosts this website and holds the server logs.
  • HighLevel (GoHighLevel), our CRM, which holds your enquiry so we can follow it up.
  • Meta Platforms, for advert measurement, and only where you have accepted tracking.

Where your information is held

Each of the providers above is based in, or processes data in, the United States, so your information is transferred outside the UK.

Each transfer is covered by a recognised UK safeguard: Vercel's data processing addendum incorporates the 2021 EU Standard Contractual Clauses together with the UK International Data Transfer Addendum; HighLevel's data processing agreement applies the Standard Contractual Clauses with the UK Addendum incorporated by reference; and Meta Platforms, Inc. participates in the UK Extension to the EU-US Data Privacy Framework (the UK-US data bridge).

How long we keep it

Enquiries that do not become customers are deleted after 24 months without contact. Customer records are kept for the life of the contract and then for 6 years, because tax law and contractual limitation periods require it. Server logs are kept by our host for a short rolling window, measured in hours to days, and then deleted automatically.

We keep your information for no longer than we need it for the purposes above, and then delete it.

Marketing messages

If you ask for a demo, we will contact you about that demo and about the service you enquired about.

Our automated follow-up may text or email you about your enquiry and the service you asked about. If you are a sole trader or in a partnership, we treat you as an individual under PECR: we only send marketing texts where you have agreed to it on a call, or where the soft opt-in applies because the messages relate to your own enquiry. Every text ends with a STOP opt-out and every email carries an unsubscribe link, and both are honoured immediately.

You can tell us to stop at any time by replying STOP to a text, using the unsubscribe link in an email, or emailing hello@traydsystems.com.

Your rights

Under UK data protection law you have the right to:

  • Ask for a copy of the personal information we hold about you.
  • Ask us to correct anything that is wrong.
  • Ask us to delete it.
  • Ask us to restrict how we use it.
  • Object to us using it where we rely on legitimate interests, including for direct marketing, which you can object to at any time and we must stop.
  • Ask us to transfer it to you or another provider, where it is held by consent or contract and processed automatically.
  • Withdraw your consent to tracking at any time, which does not affect anything done before you withdrew it.

How to exercise your rights, or complain

Email hello@traydsystems.com and we will respond within one month. We will not charge you, and we will not ask why you are asking.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk, or on 0303 123 1113. We would rather you came to us first so we can put it right, but you do not have to.

Automated decision-making

We do not make any decision about you by automated means that produces a legal effect or similarly significantly affects you. Our follow-up messages are automated, but a person decides whether and how to work with you.

Children

This site sells business services and is not intended for children. We do not knowingly collect information about anyone under 18.

Changes to this notice

If we change how we handle your information we will update this page and change the date at the top. If the change is significant, we will contact enquirers and customers directly rather than relying on you to check.
